How to White Label Your Virtual Conference for Complete Branding Control?

In Person Event Venues Respect your Brand

Before we talk about how to white label your virtual conference, let’s talk about in-person events. I remember going to many conferences at the Javits Center in NYC. Not once have I seen the building branding inside in any of these conferences or expos. Instead, you always see the main event name and their sponsors banners. And whether it’s the Javits Center or any other event venue, you would never see a mention of the venue during the event or on the floors. The only time I’ve seen such thing is when there is food or beverage provided, there is normally a small mention, something like “Coffee provided by Sheraton”.

White Label your Virtual conferences

Now, let’s flip the situation to a virtual event. Instead of the venue, you’ll have webpages, instead of stages with screens and A/V, you’ll have videos. Your virtual event sponsors will love how their logos, links, and pdfs are in the spotlight. Why should you settle for your virtual event producer to have a “powered by” mention, or their logo blasted all over your event page. It’s simply unacceptable.

Not only it comes off as how desperate they are to promote their service, but also looks very unprofessional to your attendees and more importantly your sponsors. It reflects very poorly to them especially after they had paid you a sponsorship fee just to realize some other company with no relation to the industry has a bigger logo there for free. That’s why you should not be restricted to white label your virtual conference.

All we ask for is a small mention

Now don’t get me wrong, every one loves some attention. For example, when people go to a conference, they will often check in on their social media or at least tweet about it. Something like (I’m at #javitscenter for the #cars #show #CSNY2018). So, we’ve decided to adapt the same strategy at VSE. All of our clients will get complete branding control over your event (see below). All we ask for is a tweet, a blog post mention, or a short facebook post before we start working on your event. (You can even remove the post after a while, we won’t force you to keep it up because we’re nice this way) 😉. And you will get full control to white label your virtual conference or event as outlined below.

Here is an example we randomly found (no relation):

What branding control will you get with VSE?

To white label your virtual conference or event, we ask that you do the mention we ask for and you will get all the following at the great price of “Zero”:

1. Your event or company logo everywhere, even as a favicon.

2. Your event or company original domain name pointing on every page (CNAME customization).

3. Every email or email sequence sent (tickets, reminders, announcements) will come from your domain (custom SMTP).

4. Speaking of emails, your logos and your sponsor’s logo/info can be added as well.

5. Your color scheme with the light design of the event pages and with the advanced site design package (Our full services package).

6. No links will point back to VSE, not even a tiny link in the footer.

VSE gives you complete control to white label your virtual conference or event.

So much branding control awesomeness!

Pre Recorded or Live Stream Virtual Events (or The Best of Both Worlds)

virtual summit live or pre recorded

So you’re doing a virtual summit?

CONGRATS you will discover the power and exposure this will bring to your business. But now a question comes up: Should you pre record your talks with your speakers? Should you do a live stream? Or should you live stream the keynote then play the pre recorded talks videos according to the summit schedule?

Pre Recorded?

We always suggest the pre recorded route. Why? Great question! And the answer is simple. You will avoid any glitches, technical issues, and many things that could go wrong during a live stream. How many times have you attended an in-person conference and before the speaker starts talking their is a mic issue or the presentation is not working with the projector, or (my favorite) the one person that interrupts the speaker constantly. By having a pre recorded presentations, you can avoid all of that. And to clarify, it will only play when it’s scheduled so the attendees won’t know the difference. Not to mention, your virtual attendees can use one of our many tools to interact with the speaker and ask questions at the end or at any point of the presentation as the speaker would choose since they will be online during the event on their talk page.

Live Stream?

If you want to offer your attendees the live stream route, no worries, we got you covered. We have the ability to stream live to your conference page, youtube live, linkedin live, facebook live and periscope. Just keep in mind that the amount of attendees for live streams are always less than the pre recorded sessions due to bandwidth. Speaking of bandwidth, unless you’ve hired a professional AV team with a high uplink bandwidth (100 Mbps to 300 Mbps), you should expect a lag during the stream and the possibility of poor quality videos. We do not recommend Zoom for it’s many issues. But no worries, we have awesome more powerful alternatives.

Virtual Event Setup in Just 2 Days

Fast 2 days virtual event setup

2 Days Virtual Event / Summit / Conference Setup

That’s right. Our virtual summit team of experts will help you setup your entire virtual event in just 2 days. And we’re not talking business days, yes, we just said that your entire virtual summit will be setup in under 48 hours from the moment you or your company signs our contract, to the full pages, video platform, accepting payments from ticket sales and even sponsors.

What you can expect in exactly 2 days? From past experiences, our team has figured out that there are 3 ways you can setup your virtual event with us. The fastest way is to setup your virtual summit or conference from scratch on our super fast and powerful servers.

Example: ABC company wanted to create a virtual conference with 10 speakers that will start in 30 days.

Our solution in just 10 simple steps:

1. VSE and ABC company agrees on the terms and sign a contract (Day 0)

2. VSE gets all the necessary info (Day 0)

3. VSE works their magic and start creating the virtual event (Day 1)

4. At the same time ABC company will receive our full on-boarding steps (Day 1)

5. If all speakers and sponsors info and materials (photos/logos) are ready, VSE will add it to the virtual event pages (Day 2)

6. At the same time VSE will implement the registration pages, payments, schedules, and email sequence (Day 2)

7. VSE delivers the virtual summit site and start working along ABC company throughout the end of the conference (Day 2)

8. That’s it.

9. Now that everything is in place, VSE will start working with speakers to record their talks or PowerPoint presentation (We now support Prezi). We will then start editing the videos and upload them to our secure servers. Our current team can edit up to 6 hours of videos per day (we will expand soon), so for the sake of this example (10 talks around 1 hour each) it will take VSE about 2 days to have the videos edited and uploaded. (Day 3 and 4)

10. VSE will work along side ABC company for any edits or updates and test everything multiple times until the day of the virtual conference and also during the conference.

You see, we’ve done a TON of research on the competition and know that it takes them a week to create a landing page, then weeks to edit and host videos, and without testing, things did not work out correctly and it was very painful for us. WE ARE HERE TO GIVE YOU A SEAMLESS EXPERIENCE.
